Sustainable and paperless signature
Franziska Trillhaase is office manager at BUND Naturschutz Marketing GmbH. In an interview, she talks about her experiences with the electronic signature inSign.
How did you go about selecting a signature provider? Which criteria played an important role?
With inSign, I found a provider relatively quickly online that meets all of our requirements and even offers other useful features such as the Word add-in. On top of that, the user interface is clearly laid out and the application is very intuitive. The free trial month, alongside the live webinar and the personal consultation with Ms Welser, convinced me straight away and the decision to go with inSign was an easy one!”

You work for Bund Naturschutz Marketing GmbH. In your opinion, how does the use of an electronic signature contribute to sustainability and environmental protection?
Which documents do you use inSign for?
“We use inSign externally for our commercial brokerage contracts and agreements, but also internally within our company for a host of documents requiring signatures.”
Can you give us some details of a typical example?
“Every month, we conclude several commercial brokerage agreements with self-employed people who would like to work for Bund Naturschutz Bayern e.V.”. These contracts contain a number of fields that must be completed and signed. To this end, I have created a contract including the form fields using the Word add-in and uploaded it to inSign as a contract template. To send the contract, we open the template in inSign, give the process an internal designation for assignment, enter the recipient’s e-mail address, and send the e-mail to our future commercial brokers within seconds, asking them to complete and sign it. If the contracts have not been completed and signed within 7 days, inSign even sends an automatic reminder!”
How has the introduction of electronic signatures improved/changed your work processes?
“Many of our work processes have become more efficient, more user-friendly and more professional since the introduction of electronic signatures. Whereas in the past we used to have to wait up to 2 weeks for a signed contract to arrive, we now usually receive them back within 2 to 3 days. In addition, the contracts now have no gaps, as the signature can only be provided once all the mandatory fields have been filled in. Another time saver for us! The error rate has also fallen dramatically. The feedback from our commercial brokers has also been positive without exception: They can now fill out and sign our contracts on their smartphone or tablet much more quickly and with fewer resources.”
Do you have further digitalisation measures in the pipeline for Bund Naturschutz Marketing GmbH going forward?
„Yes.“
How would you sum things up? Would you recommend inSign to other organisations?
“The switch to electronic signatures was another important and innovative step in our digitalisation process. We managed to implement inSign in our company in a very short space of time and now it’s impossible to imagine our day-to-day work without the electronic signature!
Thanks to the intuitive application and the many short and easy-to-understand tutorials, we found it the switch very straightforward. We are pleased that we can now handle our contracts in a more environmentally friendly and simpler way for all parties involved. We are very satisfied with inSign and would recommend it without hesitation!”
